Tax Planning Strategies
2026 Tax Year Document Checklist for Individuals and Business Owners
Everything to gather for your 2026 tax return, from W-2s and 1099s to business books and crypto records, plus the new 2026 1099 thresholds.
The fastest tax returns start with a complete, organized pile of paper. This checklist covers what to gather for the 2026 tax year, which you will file during the 2027 season, whether you earn a salary, run a business or both. Work through it in four steps: collect, sort, reconcile, then send.
The core list
Most people need some combination of these. Skip anything that does not apply.
- Your 2025 federal and state returns
- W-2s from every employer
- 1099 forms and any K-1s
- Bank and brokerage statements
- Mortgage interest and property tax records
- Charitable donation receipts
- Education, health insurance and HSA documents
- Records of major purchases or sales
- Estimated tax payment confirmations
- Any IRS or state notices received in 2026
Why last year’s return matters
Your prior return carries information this year’s return depends on: capital and passive loss carryforwards, depreciation schedules, investment and property basis, unused credits and foreign tax credit carryovers. Send any amended returns and prior notices too.
Wages
Collect a W-2 from every job, including any corrected W-2c. Check your name, Social Security number, wages and withholding. If one is missing, contact the employer or check the payroll portal and tell your CPA rather than filing without it.

New 1099 thresholds for 2026
Under the One Big Beautiful Bill Act, payers only need to issue Form 1099-NEC and most 1099-MISC forms for payments of $2,000 or more made from January 1, 2026, up from $600. The figure will adjust for inflation from 2027. Attorney proceeds generally still trigger reporting at $600 and royalties at $10. Form 1099-K returned to a threshold of more than $20,000 and 200 transactions.
A threshold only decides whether a form is issued. It never decides whether income is taxable. A contractor paid $1,500 in 2026 may get no 1099, but still owes tax on it.
Investments and crypto
Gather consolidated brokerage statements, cost basis records (especially for old or transferred holdings), and stock option or RSU paperwork from every platform you used. For cryptocurrency, collect transaction histories from each exchange, wallet records, staking and airdrop records and any Form 1099-DA. One exchange’s report usually cannot see self-custody wallets or transfers between platforms. The IRS treats digital assets as property, so complete records matter.
Self-employed and freelance
Keep income and expenses in separate folders. Income includes 1099-NEC and 1099-K forms, invoices and payment processor reports. Expenses include software, advertising, insurance, professional fees, travel and meals, vehicle costs and contractor payments. Every expense needs a clear business purpose to be deductible.
Business owners
Whatever your entity, send a year-end profit and loss statement, balance sheet, general ledger and bank and card reconciliations, plus payroll reports and 1099s issued and received. Reconciled books let your CPA start from an accurate picture instead of rebuilding the year from bank statements. Monthly bookkeeping makes this step easy.
| Entity | Add these |
|---|---|
| S corporation | Prior Form 1120-S and K-1s, shareholder distributions and loans, ownership details, fixed asset purchases. Keep salary, distributions, loans and reimbursements separate. |
| Partnership or multi-member LLC | Prior Form 1065 and K-1s, operating agreement, ownership changes, capital contributions, guaranteed payments and partner loans |
| C corporation | Prior Form 1120, trial balance, dividends, related party transactions and state filings. Foreign-owned companies may need more; see our guide to Form 5472 for foreign-owned LLCs. |
| Rental property | Closing statements, Form 1098, rent records, manager statements, depreciation schedules, and repairs kept separate from improvements |
Home, retirement, health and family
- Home: Form 1098, property tax bills, purchase, sale and refinance documents. Keep them for years because they set your basis.
- Retirement: Form 1099-R, IRA contribution records, 401(k), SEP or SIMPLE statements.
- Health: HSA records, Forms 1099-SA and 5498-SA, insurance information and qualifying medical expenses.
- Education and family: Form 1098-T, student loan interest, childcare and dependent records.
- Charity: the charity’s acknowledgment letter, not just a card statement, plus appraisals for large noncash gifts.
Life changes to mention
Tell your CPA about marriage, divorce, a birth or adoption, a death in the family, a new job, starting or selling a business, buying or selling property, moving states, an inheritance, large investment or crypto activity, foreign income or accounts, and stock options. Let the CPA decide whether it matters for tax.
Foreign accounts and notices
Bring statements for foreign income, accounts and business interests, tax paid abroad and currency conversion records. Reporting rules depend on account type and balances, so let your CPA decide which forms apply. Also send every IRS or state notice and any payment confirmations, including estimated and extension payments and overpayments applied from last year.
If a form is missing
- Ask the employer, bank or payer.
- Check their online portal.
- Tell your CPA what is outstanding.
- Use an IRS transcript to see income already reported under your number.
- Do not plug in your own estimate; ask whether an extension makes sense instead.
A simple folder system
Label folders for prior returns, employment, 1099 income, investments, home and real estate, business, retirement and HSA, charity, international, notices, major transactions and miscellaneous. Any consistent structure beats dozens of unrelated email attachments.
When to send everything
Send documents as they arrive rather than waiting for the last one. Business owners should close the year’s books first. Complex investments, several entities or foreign reporting need more lead time. Forward any corrected form the day it arrives.
Mistakes that slow returns down
- Sending W-2s but forgetting investment income
- Missing a 1099 from a closed account
- Assuming the CPA already has last year’s return
- Sending unreconciled books or mixing personal and business spending
- Forgetting estimated payments, crypto or foreign accounts
- Assuming no 1099 means no taxable income
- Starting the week of the deadline
